An intake form on its own goes nowhere: what sends it to the athlete is a rule. The rule answers two questions — who has to fill it in and how often. Rules live in Forms → Intake forms, in the When to require block.
Feedbacks have the equivalent block on the Feedbacks tab, called When to send. Each tab only shows the rules of its own type, so nothing gets mixed up.

Create a rule

1

Click New rule

In the When to require block, click New rule.
2

Pick the form

Under Which intake form, select the questionnaire this rule will ask for.
3

Choose who it applies to

You have three options:
  • New athletes — only people who join from now on.
  • All athletes — every current athlete gets the form now, and new ones too.
  • Webhook — only people who buy through a specific integration (Kiwify, Hotmart, Sellyo). You pick which webhook next.
4

Set the repetition

Tick Repeat and say how often: type the number and pick the unit — days, weeks or months. Right below it you’ll see the date the next one would land on if you asked today, so you can check before saving.Leave it off and the form is asked once only.
5

Save the rule

Click Save rule. It takes effect right away.

A check-in every 15 days

This is the most requested setup. Build a short follow-up form (weight, energy, pain, adherence, photos) and create a rule like this:
  • Which intake form: Biweekly check-in
  • Applies to: All athletes
  • Repeat: every 15 days
Every fifteen days the athlete gets the questionnaire again, answers in the app, and you see the progress answer by answer.

A month is a month, not four weeks

If you want it quarterly, pick 3 months — not 12 weeks. Twelve weeks are 84 days and a quarter is about 91: every cycle the date would drift a week earlier, and over a year of coaching the gap gets wide. With months, the form always lands on the same calendar day. Asked on 15 June, the next one is 15 September. When that day doesn’t exist in the target month (the 31st in February), it lands on the last day of that month and goes back to the 31st the time after.
The countdown starts from the day the form was asked, not from the answer. If you asked on the 15th and the athlete only answered on the 30th, the next one still lands on the 15th — the schedule doesn’t drift because they were slow.

How rounds work

Each time the form is asked, that’s a round. Each round stores its answers separately, so you can compare January’s check-in with March’s without losing anything. Three things happen on their own, so coaching never stalls:
  • A skipped round doesn’t block the queue. If the next one falls due while the previous is still unanswered, the old one is closed as not answered and the new one takes its place. Before, an athlete who skipped one form never got another — and if that form was the one that generates AI workouts, they never got a new workout either.
  • Two never arrive together. If the athlete already owes you another required intake form, the new one waits until they answer the open one — instead of piling questionnaire on top of questionnaire. This applies between intake forms; the rule that separates intake forms from feedbacks is a different one, in Intake form or feedback?.
  • A long gap doesn’t pile up. If you paused the rule for months and turned it back on, they get one form, not six.
A round closed without an answer shows on the athlete’s profile as not answered — it doesn’t disappear from the history, so you can see it was asked and went unanswered.

What the rule does to the workout

A form that comes from a rule is required: while it’s pending, the workouts you delivered to that athlete stay locked. As soon as they answer, the workout is released (the next morning, at 6am their time).
This applies to the first round and every one after it. If you use recurrence, tell your athletes — that’s what keeps check-ins on schedule.

Managing rules

In the list, each rule shows the form name and two tags: who (New athletes / All athletes / Purchase · webhook name) and how often (Once / every 3 months / every 15 days, whichever you set).
  • Use Edit to change anything.
  • Untick Active to pause the rule without deleting it.
  • The trash icon removes the rule (answers you already received stay).
One form can be used by several rules at once — for example, the same initial intake required from new athletes and from Kiwify buyers.
